In most schools, athletic department budgets are set from the top down. An agreed arbitrary budget is set, and when possible, a fee is charged the athlete to participate. The fees seldom contemplate the true cost to run the program, but rather, are based on “what we have always charged” or, on what the school feels is fair to the athlete based on economic norms in the community. It would not be affordable to play if fees were the sole revenue to offset the cost of the program.
School clubs can work within this format and function well in this simplified arrangement. The club just matches the events and expenses to the limit of the budget parameters. But the truth is that athletic budgeting is much more complex, and expenses of the sport dictate the revenues needed. But developing a plan does not have to be complex.
Athletic department budgets must be developed from the bottom up! And in the process, include the coaches in the development of the budget.
How often is your school or organization pulling from the school’s general funds or booster club coffers to cover the cost of an athletic season when it becomes an “emergency” shortfall at the end of the season or school year? If the expenses exceed the revenue, someone is going to pay the bill. That is the stark truth. Wouldn’t be better if we had a clear plan?
And just look what the pandemic did to athletic revenues in 2020 and 2021. We think it’s time we took this seriously and got everyone on board. The school admin, coaches, and AD’s need to understand the by-line athletic costs and understand the expenses and revenues associated with managing the entire athletic department budget.
